This policy explains how BillCrop, a product of AkolagTech, handles data in connection with this marketing website (billcrop.com). The BillCrop application at crm.billcrop.com is governed by the in-product privacy terms you accept when you create an account, and, on paid plans, by our Service Level Agreement for uptime and support.

The free tools on this site

The invoice generator, quotation generator, and payment reminder generator run entirely in your browser. The details you type into them — names, amounts, line items, and any logo you upload — are never transmitted to us or stored on a server. They stay on your device for the duration of your session. This is true regardless of whether you accept or decline the cookie choices described below.

Information we collect

We collect information in a few ways:

Information you give us directly. If you contact us by email or submit a lead or contact form, we process the information you send (such as your name, email, and message) so we can respond and follow up.

Information collected automatically via cookies and similar technologies. This website uses Google Analytics (GA4) to understand how visitors use the site, and the Meta Pixel to measure and optimize advertising on Facebook and Instagram. When enabled, these tools receive page-view data and, for specific actions, event data: a "Lead" event when a contact/LeadFlow form is successfully submitted, and a "StartTrial" event when you click a link to start a trial on crm.billcrop.com (this reflects click intent only — the actual signup happens on crm.billcrop.com, a separate application this website does not have access to). You can decline analytics and advertising cookies at any time from the consent banner or the "Cookie preferences" link in the footer, and GA4/Meta Pixel will not load unless you accept.

Who we share information with

We share the automatically-collected data above with Google (Google Analytics) and Meta (Meta Pixel), each of which processes it under its own privacy policy and terms, only as service providers acting on our behalf — neither is permitted to sell your data or use it for their own independent purposes. We do not sell or share your data with third parties for their own use; we use it only to improve our services and better serve our customers. We never send your customer records, invoice amounts, or any other financial or business data from the BillCrop application to these or any other third-party trackers — this marketing website has no access to your app data in the first place.

Lawful basis for processing (GDPR)

Where the GDPR applies, we rely on consent for analytics/advertising cookies (GA4 and the Meta Pixel do not run until you accept the banner) and for any marketing communications; and legitimate interest for responding to a contact/lead-form submission you initiated, and for basic site security. Where we rely on legitimate interest, you can still object at any time - see "Your rights" below.

Retention

Contact and lead-form submissions are retained for as long as reasonably needed to respond to you and for our own business records, after which we delete or anonymize them. Analytics and advertising data is retained according to Google's and Meta's own retention settings for our accounts, which we configure to the shortest practical period those platforms support.

Your rights

Depending on where you're located, you may have rights to: access the personal information we hold about you; rectification (correct it); erasure (deletion); data portability (a copy of what you gave us, in a structured format); and to object to or restrict certain processing, or withdraw consent (including by declining cookies, as above). The AI assistant

Inside the product, the AI assistant only reads your own company's records to answer your questions, scoped to your account. Every action it drafts is reviewed and approved by you before anything is saved or sent. The AI assistant embedded on this marketing website answers general questions about BillCrop and does not have access to your BillCrop account data.
